Role Overview
We are looking for a highly organised, proactive, and reliable Administrative Assistant to join our growing team. This is a key role within the business, providing administrative support across operations, health and safety, staff training, customer service, and compliance.
The successful candidate will become an integral part of the company, helping ensure works are delivered safely, efficiently, and to the highest standards.

Key Responsibilities
General Administration
- Timely co-ordination of incoming calls, emails and enquiries to appropriate staff with a professional and friendly manner.
- Maintain data, information and electronic records on company management systems. Assist with quote creating and liaising with customers to schedule work.
Order Processing & Client Support
- Process and manage log/firewood orders and enquiries ensuring databases and order records are accurate.
- Communication with clients and customers as appropriate such as scheduling queries.
Job Pack Creation & Operational Support
- Preparation and issue of job packs, risk assessments, site documentation, permits, and work instructions. Liaise with local authorities, utility providers, and clients regarding permissions, applications, and scheduling requirements.
Staff & Training Records
- Maintain employee files and personnel records as well as ensure training and qualification records are kept up to date whilst monitoring expiry dates for licences, and medicals.
- Schedule training courses and refresher certifications. Support onboarding of new employees and maintain induction records.
Health & Safety Administration
- Maintain health and safety records and compliance documentation. Assist with accident, near-miss, and incident reporting records. Support the implementation and administration of company health and safety procedures.
Essential Skills & Experience
- Previous experience in an administrative or office support role.
- Excellent communication, organisational and document management skills.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office, particularly Word, Excel, and Outlook.
- Confident communicator with good telephone and email etiquette.
- Ability to manage multiple tasks, prioritise and work under pressure.
- Professional, proactive and flexible approach to work.
Desirable Experience
- Experience working within construction, arboriculture, highways, grounds maintenance, or a similar operational industry.
- Knowledge of health and safety administration and compliance documentation.
- Experience preparing job packs.
- Familiarity with training and competency record management.
- Experience using scheduling, CRM, or works management systems.

Grounds Maintenance Operative
Location: Oxfordshire, Gloucestershire & Wiltshire
Job Type: Full-time | Permanent
The Role
As a Grounds Maintenance Operative, you’ll work as part of a professional team to deliver a wide range of grounds and landscaping services. You’ll ensure sites are maintained to the highest standards, equipment is used safely, and Health & Safety procedures are always followed.
Key responsibilities include:
Grass cutting, hedge trimming, weeding, and general landscaping
Safe operation of mowers, strimmers, hedge cutters, blowers, and other equipment
Planting shrubs, trees, and seasonal flowers; stump grinding where required
Litter picking, debris removal, siding out footpaths, and moss clearance
Reporting site issues or improvement opportunities to supervisors
Working efficiently with colleagues to deliver work on time and to specification

Essential:

Desirable:
- Relevant industry qualifications (training can be provided)
- Full UK Driving Licence
